Process map templates

Fifty swimlane process maps you can open and edit in the browser, covering HR, finance, operations, IT and customer processes, plus SOPs for ship repair, instrumentation and marine electrical work. Each one is a real chart, not a picture: open it and you get a spreadsheet of steps alongside the diagram, and editing a cell redraws the map.

Every template on this page is laid out the same way: one row per step, with columns for the shape, the connections, the branch labels and the swimlane. That is the whole editing model. If you can fill in a spreadsheet you can change any of these maps, and you never have to move a box or route a line by hand.

The maps are grouped by the department that usually owns them, but the useful ones are almost always cross-departmental: onboarding needs IT, purchasing needs finance, a complaint needs whoever owns the process that failed. That is why each map is drawn in swimlanes rather than as a single column of steps: the handoffs between lanes are the part worth having on a page.

HR & people

Hiring, joining, leaving and time off: the processes that cross HR, the line manager, IT and facilities in the same week.

  • Employee onboarding process map

    A swimlane map of onboarding from an accepted offer to the end of probation, with HR, the hiring manager, IT and Facilities each in their own lane. The lanes are the point: they show the three or four moments where a new starter's first day depends on someone in a different department having acted days earlier.

  • Employee offboarding process map

    A swimlane map of offboarding from notice to the weeks after someone has left, across HR, the manager, IT, payroll and finance, and facilities. It is deliberately laid out on a clock: the steps that must happen before the last working day are separated from the ones that happen on exit day itself.

  • Recruitment process map

    A swimlane map of hiring from the moment a role is defined to the moment an offer is accepted, with the hiring manager, HR and talent, finance, the candidate and the interview panel in separate lanes. It carries six decision points, because recruitment is mostly decisions and the steps in between are logistics.

  • Leave request process map

    A swimlane map of a leave request from submission to the employee's return, across the employee, the manager, HR and payroll. Seven decision points is a lot for a process this short, and that is the honest picture: almost every step in leave handling is a check that can fail.

Finance & procurement

Requests that have to collect approvals before money moves: requisitions, invoices, expenses and the full procure-to-pay cycle.

  • Purchase order process map

    A swimlane map of purchasing from a requisition through approval, sourcing, receipt and payment, with the requester, the department manager, finance/AP, procurement and the supplier each in a lane. The supplier lane is what makes it a process map rather than an internal workflow: half the waiting happens outside your company.

  • Invoice approval process map

    A swimlane map of an invoice from arrival to payment, across the supplier, accounts payable, the budget holder and the finance manager. Six decisions in nineteen steps, because invoice handling is a sequence of gates and the interesting question is always which gate an invoice is stuck behind.

  • Procure-to-pay process map

    The full P2P cycle as a swimlane map (requisition, approval, sourcing and PO, receipt and invoice, match and exceptions, payment and reporting) across the requester, the budget holder, procurement, the supplier, accounts payable and finance. At twenty-six steps and eight decisions it is the largest map in this library, which is a fair reflection of the process.

  • Expense approval process map

    A swimlane map of an expense claim from the moment a receipt exists to the moment the money is reimbursed and the claim is available for audit, across the employee, the line manager, finance/AP, payroll and an auditor. Seven decisions, most of them policy checks that a claim can fail.

Operations & supply chain

Processes with something physical moving through them, where the risk is the paperwork and the goods drifting apart.

  • Order fulfillment process map

    A swimlane map of an order from intake to delivery and closure, across the customer, sales and customer service, finance, the warehouse and logistics. Seven decisions, and every one of them is a place an order can stop moving without anyone being told.

  • Goods receiving process map

    A swimlane map of goods-in from the carrier arriving to the goods receipt note reaching finance, across the carrier and supplier, the goods-in clerk, the warehouse, purchasing and finance. It is a short process that carries a lot of weight: everything downstream in payables depends on what happens on this loading bay.

  • Inventory management process map

    A swimlane map of the inventory cycle (receipt, stock records, replenishment, cycle counting, and review and write-off) across the warehouse, the inventory controller, production, procurement and finance. It is a map of a loop rather than a line, which is what makes inventory hard to describe in a list.

  • Returns process map

    A swimlane map of a return from the customer's request through authorisation, receipt, inspection and disposition to the refund or replacement, across the customer, customer service, the returns area, quality and finance. The disposition phase is where the branches multiply, and it is the reason this needs to be a map.

IT & service management

Incidents, changes, access and the service desk: processes that run against a clock somebody else is watching.

  • Incident management process map

    A swimlane map of an incident from detection to closure and improvement, across the reporter, the service desk, the incident manager and second- and third-line support. Its five phases are drawn as columns so that escalation reads as movement between lanes rather than as a status change.

  • Change management process map

    A swimlane map of an IT change from request to post-implementation review, across the requester, the change manager, the CAB, the implementation team and the service owner. The triage phase is the load-bearing part: it is where a change is classified, and the classification decides how much of the rest of the map it has to travel.

  • Access request process map

    A swimlane map of a user access request from submission to provisioning and periodic recertification, across the requester, the line manager, the system or data owner, the IT service desk and security. Its structure is built around one rule: nobody both approves and grants their own access.

  • IT help desk process map

    A swimlane map of everything that arrives at a service desk (incidents and service requests both) from first contact to closure, across the user, the service desk, tier 2 support, asset and procurement, and problem management. The first real decision is the one that splits the two, and almost everything downstream depends on getting it right.

Customer & quality

Where an external verdict, a customer's or an inspection's, has to find its way back to whoever produced the work.

  • Customer onboarding process map

    A swimlane map of onboarding a new customer from the sales handover through kickoff, account setup, configuration and migration, training and go-live, and into adoption, across the customer, sales, implementation, finance and support. The customer has a lane because most of the delay in onboarding is time spent waiting for them.

  • Customer complaint process map

    A swimlane map of a complaint from intake to closure, across the customer, customer service, quality, the owning department and management. The investigation phase deliberately sits outside customer service's lane, because a complaint that is only ever handled by the people who receive complaints never changes anything.

  • Quality control process map

    A swimlane map of quality control from the inspection trigger through sampling, testing and release, with a full nonconforming-material path, across production, the QC inspector, the QC lab, the quality manager and the warehouse. The nonconforming branch is drawn at the same weight as the release path, because that is the half people need the map for.

  • Root cause analysis process map

    A swimlane map of an RCA from problem statement and containment through evidence, cause analysis, verification and corrective action, across the facilitator, the process owner, the investigation team, quality and management. Containment comes first and verification comes before action: both are deliberate, and both are what most informal RCAs get backwards.

SOPs: ship repair, instrumentation & marine electrical

Standard operating procedures for three technical trades: ship-repair yard work, instrument calibration and service, and marine and offshore electrical work. Same swimlane model as every other map here, applied to a permit, a work order or a service call instead of an office process.

  • Vessel arrival and docking process map

    A swimlane map of a vessel from ETA to secured berth, across Planning, the Dock Master, berth and crane ops, the vessel/customer and the project team. The map holds the two moments most departures from plan actually happen: berth fit against the vessel's own draft and beam, and the weather and tidal window pilotage waits on.

  • Dry docking and undocking process map

    A swimlane map of dry-docking a vessel from block-plan approval to refloat, across the Dock Master, Planning, Mechanical, QA/QC and the vessel/customer. It carries four decision points because dry-docking is the one procedure in a yard where getting a check wrong can mean structural damage to the vessel, not just a schedule slip.

  • Ship repair project kickoff process map

    A swimlane map of a repair project from an incoming specification to execution underway, across Sales/customer, technical review, the project manager, procurement and the workshops. The map's center of gravity is work packages: the moment scope splits by discipline is the moment a repair project becomes plannable instead of just described.

  • Hot work permit process map

    A swimlane map of authorizing welding or cutting work, from request to a closed permit, across the technician, HSE/fire watch, the Dock Master and the gas-free engineer. Three decisions gate the work — atmosphere, approval, and a post-work clearance — and none of them are formalities the map lets you skip.

  • Confined space entry process map

    A swimlane map of entering a tank, void or cofferdam, from risk assessment to closeout, across the technician, HSE/safety, the gas-free engineer and standby/rescue. It is the one map in this cluster with a genuine dead end: a risk assessment can prohibit entry outright, with no path back into the process.

  • Shipboard repair quality inspection process map

    A swimlane map of inspecting a completed repair, from the technician's own self-check to customer acceptance, across the technician, QA/QC, the class surveyor and the customer. Three of its five decisions can send the work back to the workshop, at three different points and for three different reasons — which is what a single 'inspect and approve' box cannot show.

  • Emergency repair request process map

    A swimlane map of an emergency repair from a 24/7 duty-line call to a released vessel, across the vessel/customer, the duty engineer, the project manager and the workshops. Its defining feature is a branch that skips the normal quotation step entirely — because a safety-critical defect cannot wait for a purchase order.

  • Change order approval process map

    A swimlane map of an additional finding during repair work, from discovery to a closed change order, across the workshops, the project manager, QA/QC and the customer. The map's first decision is the one that matters most commercially: whether a finding is already covered by the existing scope or is genuinely additional work.

  • Subcontractor onboarding process map

    A swimlane map of bringing an external contractor onto a yard, from selection to checkout, across procurement, HSE/safety, security/access and the project manager. It treats access, competence and permits as three separate gates a contractor has to clear, in that order, before doing any work at all.

  • Vessel repair handover process map

    A swimlane map of closing out a repair project, from all work packages reporting complete to a departed vessel, across the workshops, QA/QC, the project manager and the customer/class. Its centerpiece is the punch-list loop — the accepted-with-minor-items path that is how most real handovers actually end, not with a clean pass.

  • Instrument calibration and documentation process map

    A swimlane map of a calibration job from work order to certified release, across ServiceDesk, the Calibration Lab and QA & Documentation. The six phases run left to right from intake through as-found calibration to certification, and the map exists to keep one rule visible: nothing gets adjusted before its starting condition is on the record.

  • Out-of-tolerance calibration process map

    A swimlane map of what happens when a calibration fails acceptance criteria, from deviation assessment to a closed corrective-action report, across the Calibration Lab, QA, Customer Account, Field Service and ServiceDesk. It starts where the routine calibration map stops, and its whole shape is organised around one hard gate: the customer has to be told before anything is fixed.

  • On-site service request and dispatch process map

    A swimlane map of a service call from the customer's first contact to a closed ticket, across ServiceDesk, Field Service and Logistics. Its busiest box is the remote-versus-on-site decision early in the map, because that single call decides whether the rest of the process is a phone conversation or a truck roll.

  • Emergency instrument troubleshooting process map

    A swimlane map of an emergency instrument call from a customer's process complaint to a confirmed return to normal operation, across ServiceDesk, Field Service, the Calibration Lab and Engineering. It is built around a sequence most dispatch maps skip past: work out which instrument is actually at fault before deciding how urgently to respond to it.

  • Instrument selection and specification process map

    A swimlane map of specifying a new instrument from a customer's stated requirement to an accepted quotation, across Sales/Account Management, Instrumentation Engineering, Compliance/QA and Procurement. Two decisions carry the whole map: does the selection meet compliance, and does the customer approve the technical proposal — and both can send the process backwards before it is allowed to move forward.

  • Instrument installation and commissioning process map

    A swimlane map of getting a new instrument from a confirmed work order to a customer handover, across Engineering, Field Service, the Calibration Lab, Commissioning and the Customer. It runs the full calibration SOP as one step inside a longer process, and it does not let a loop go live until the loop test and calibration both pass together.

  • Preventive maintenance and calibration planning process map

    A swimlane map of a service agreement's annual planning cycle, from reviewing the customer's instrument register to updating calibration intervals for the next cycle, across Account Management, Calibration Planning, ServiceDesk, Field Service and QA & Documentation. Its real subject is not any single maintenance visit, it is the interval itself, and whether the evidence from past visits says it should change.

  • Turnaround shutdown service process map

    A swimlane map of covering a plant's turnaround or shutdown window, from scope definition to a delivered final report, across Project Manager, Field Service, the Calibration Lab, QA and the Customer. Unlike a routine service visit, everything here runs inside someone else's schedule and someone else's safety rules, and the map is drawn to make both of those constraints explicit rather than assumed.

  • ATEX instrument installation process map

    A swimlane map of installing an instrument in a classified hazardous area, from zone classification to a handed-over compliance file, across Field Service, Engineering, ATEX Safety, QA and Commissioning. Two hard gates run through it — a marking check against the zone before installation, and an inspection against installation requirements after it — and neither one has a proceed-anyway branch.

  • Instrumentation project delivery process map

    A swimlane map of a full instrumentation project from a customer's inquiry to a customer operating the system independently, across Project Manager, Engineering, Procurement, Field Service and the Customer. At eighteen steps it is the longest chart in this set because it is the one that absorbs the others: instrument selection, installation and commissioning are each run here as their own referenced sub-process rather than redrawn.

  • Marine electrical installation process map

    A swimlane map of a marine electrical installation from a received scope to handover for commissioning, across ServiceDesk, Engineering, Field Electrical, QA/Inspection and the Project Manager. It carries two hard gates before power is ever in play: a materials-match check before install starts, and a workmanship inspection before de-energized verification runs.

  • Electrical system commissioning process map

    A swimlane map of commissioning a completed marine electrical installation from pre-energization testing to customer handover, across Field Electrical, QA/Test & Inspection, the Commissioning Engineer, Engineering and the Customer. The map's centre of gravity is a single sign-off: nothing gets energized until a named engineer approves it.

  • Emergency marine electrical repair process map

    A swimlane map of a 24/7 emergency electrical repair from the vessel's first call to return-to-service, across ServiceDesk, Field Electrical, Engineering and the Customer. The map's first real decision is triage severity, made before dispatch is even sized.

  • High-voltage electrical work process map

    A swimlane map of high-voltage electrical work from a work request to re-energization, across ServiceDesk, Engineering, a named Authorized Person, Field Electrical & Test, and the Project Manager. Two decisions on this map are non-negotiable by design: authorization to isolate, and proof that the circuit is actually dead.

  • Electrical inspection and testing process map

It's deliberately a diagnose-and-report map, not a repair one: a defect gets flagged and referred, not fixed on the page.

A judgment call — whether vibration analysis is needed — sits at the centre of the diagnostic phase rather than being run on every visit.

  • Electrical engineering and design change process map

    A swimlane map of servicing hazardous-area electrical equipment from a service request to return to operation, across ServiceDesk, Field Electrical, an ATEX/EEx Specialist, QA/Compliance and the Customer. The map holds the job rather than proceeding the moment certification can't be confirmed.

  • Offshore and wind project mobilization process map

    A swimlane map of mobilizing an electrical crew to an offshore platform or wind site from a request to closeout documentation, across ServiceDesk, HSE/Compliance, Field Electrical, the Project Manager and the Customer. A hard certification gate sits before travel is even booked.

How these templates work

Choose a map and open it. The editor loads the chart into your browser with the spreadsheet underneath it: column one numbers the steps, and the “Line to” column holds the row numbers each step connects to. Change a step name and the box relabels; point a row at a different number and the arrow moves; type a lane name and the step moves into that swimlane.
